Party terms and conditions

1. Party selection and bookings.

a) Please refer to our website for details of the parties available.

b) The party package maybe changed up to 7 days before the party date.

c) Bookings must be done online via https://calendly.com/labrascals

2. The Venue

a) All party venues must be located within 50 miles from Barton upon Humber (DN18).

b) Lab Rascals do not provide a venue for your party. You must arrange your own venue.

c) Lab Rascals science parties require 30 minutes setting up time prior to the start of the party and 30 minutes packing up time after the party.

d) The venue must have parking with room to load/unload and with easy access to the building.

e) Lifts must be available to transport equipment above ground floor level.

f) Enough tables need to be provided for the children to stand around and a surface for the entertainer to use for setup.

g) Access to a power socket, sink or pot washing area is required.

h) Shelter must be provided for outdoor parties (Marquee).

3. Participants

a) All children need to be age 5+ to take part due to health and safety.

b) There must be a maximum of 28 children. Our ideal party size is between 10 and 20 children.

c) We require confirmed party numbers and ages a minimum of 3 days before the party date.

d) If children have special educational needs and require assistance, an adult must assist at all times.

e) Late arrivals must wait until an entertainer provides health and safety instructions before joining in.

f) All adults are welcome to watch the experiments and we request that at least 1 adult is present. If there are several adults we ask that they respect the entertainer and remain quiet.

4. Health and Safety

a) We reserve the right to ask participants to sit an activity out if they do not follow safety instructions.

b) Parent disobeying health and safety instructions will be asked to leave.

c) Eye protection for children is provided, which must be worn for the duration of the science experiments, unless the scientist states otherwise.

d) Scientists must be informed if children have any skin conditions or medical requirements before the party begins.

e) Every person attending the party is required to wear shoes. This includes anyone watching the experiments.

f) Children must be supervised at all times.

g) No pets to be in the same room as the party is being held.

5. Costs and Payments

a) Costings are confirmed via email prior to booking. Any changes in prices after booking prior to the party will not apply.

b) A deposit of £40 is required to secure any party booking.

c) Full payment via BACS must be done a minimum of 24 hours beforehand, otherwise cash payments on the day will be expected at the beginning of the party.

d) A final amount invoice is issued once number are confirmed a minimum of 3 days beforehand. If numbers are not confirmed a minimum of 3 days prior to the party you will be changed based on the original numbers provided.

e) Deductions are not provided for no shows.

f)  Additional children will be charged for on the day.

d) Deposits are non-refundable. Should a cancellation be made under 14 days of the due date full payment will be required.

6. Tables, carpets, clothing & soft furnishings.

a) Lab coats are provided to wear over clothing. All products used during experiments are washable but we accept no responsibility for any damage to clothing.

b) We recommend slime making to be located on a hard floor. Any carpets should be covered by the host.

c) Tables made of stone, marble and glass are unsuitable for dry ice experiments due to the risk of thermal shock.

d) We recommend the use of heat/table mats on all tables in your own home.

e) Lab Rascals cannot be held liable for any damage to tables, carpets, clothing & soft furnishings.

7. Documentation

a) Should you have any documentation requirements relating to scientist identification, DBS, Public Liability Insurance, Risk Assessments etc, these must be requested a minimum of two weeks before the party.

8. Right to Refuse

a) Lab Rascals reserves the right to refuse the booking on arrival if the above conditions are not met. Should a refusal be made due to unmet conditions full payment will apply.

 

School/group Hands on workshops terms and conditions

1. Workshop selection and bookings.

a. Please refer to our website for details of the workshops available

b. All workshops must be identical unless otherwise approved via email.

c. Bookings must be done online via https://calendly.com/labrascals

2. Preparation and Clean-up Time

a. It is essential that the workshop room is open and accessible for our scientists 45 minutes before and after the workshop booking time.

b. Lab Rascals requires to be in the same room throughout the duration of the workshops.

3. Turnaround Time

a. Workshops require a 10-15 minute turnaround time which must be allowed between each class.

b. A lunch break of 45-60 minutes is required to allow for workshop turnaround plus statutory break periods.

c. Timings need to be approved prior to the workshops.

4. Age and Number of Participants

a. Most workshops can be tailored for any age group in EYFS, KS1 and KS2.

b. A maximum of 30 children per session applies.

c. Teachers or Teaching Assistants are required to assist children with SEN for Health and Safety reasons.

d. Dry ice workshops not suitable for EYFS and some SEN children for Health and Safety reasons.

5. Health and Safety

a. We reserve the right to ask participants to sit an activity out if they do not follow safety instructions.

b. Eye protection for children and teachers is provided, which must be worn for the duration of the science experiments, unless the scientist states otherwise.

c. Children and teachers are required to wear closed toed outdoor shoes during the workshops.

d. Scientists must be informed if children have any skin conditions or medical requirements prior to the workshops.

e. Schools are responsible for standard fire procedures and first aid.

f. A teaching member of staff must be present at all times.

6. Access

a. School must provide parking with room to load/unload and with easy access to the building.

b. Lifts must be available to transport equipment above ground floor level.

7. Costs and Payments

a. Costings are confirmed via email prior to booking. Any changes in prices after booking prior to the workshop will not apply.

b. If your school is VAT except we must be informed before invoices are issues.

c. Alterations of timings and number of workshops may result in additional charges.

d. Invoices must be paid within 30 days of receipt.

e. A cancellation fee of £100 applies for all cancelations made under 21 days of the due date.

f. Full payment is require for all cancelations made under 7 days of the due date.

a. All schools/workshops should be located within 50 miles from Barton upon Humber (DN18).

b. Enough tables need to be provided for the children to stand around and a surface for the scientist to use for setup.

c. The scientist needs to be located near to a power socket.

d. Scientists require a sink or access to a pot washing area nearby.

Planetarium terms and conditions

1. Planetarium Requirements

a) A large, indoor space with a smooth, clean floor area of 6m by 7m, a clear ceiling height of 3.5m and access to mains power is required.

b) A maximum of up to 25 secondary or up to 30 primary-aged children plus two teachers.

c) It the organisers’ responsibility to measure the room and ensure the planetarium will fit prior to booking.

d) The dome cannot be located outdoors or on uneven floors.

2. Show selection and bookings.

a) Please refer to our website for details of the shows available.

b) All planetarium shows have a specific running time of 45-50 minutes and cannot be altered.

c) Bookings must be done online via https://calendly.com/labrascals

3. Preparation and Take Down Time

a) It is essential that the workshop room is open and accessible for our scientists 45 minutes before and 30 minutes after the booking time.

b) The dome requires 30-45 minutes to set up and 20 minutes to take down.

c) Scientist require a 30 min lunchbreak excluding changeover time. If the planetarium requires dismantling over the lunch period set up and take down time is required.

4. Turnaround Time

a) Planetarium shows require a 5 minute turnaround time which is allocated between each class.

b) Should the next class arrive before the pervious show has finished please wait outside the room and keep the children as quite as possible.

5. Participants

a) A maximum of 30 children per session applies.

b) Teachers or Teaching Assistants are required to assist children with SEN for Health and Safety reasons.

c) A teaching member of staff must be present at all times.

d) If you have a medical emergency requiring a child to exit please inform the Lab Rascals assistant near the exit.

e) Please ensure everyone sits on the floor and not on the side of the dome.

f) Should a fire alarm sound everyone is to remain seated until the dome is removed.

g) Everyone is to remove their outdoor footwear before entering the dome.

h) Sound inside the dome is magnified. Please inform the children to reframe from having their own conversations.

6. Access

a) Schools must provides parking with room to load/unload and with easy access to the building.

b) Lifts must be available to transport equipment above or below ground floor level.

c) A ramp must be provided to transport equipment up or down any steps  in or outside the building.

7. Costs and Payments

a) Costings are confirmed via email prior to booking. Any changes in prices after booking prior to the workshop will not apply.

b) If your school is VAT except we must be informed before invoices are issues.

c) Alterations of timings and number of shows may result in additional charges.

d) Invoices must be paid within 30 days of receipt.

g) Schools will be charged full price if scientists arrive at your venue and the planetarium does not fit in the hall provided.

Public events Terms and Conditions

1.  The Venue

a)    We require a parking space in close proximity to the event for loading and unloading.

b)    A lift must be provided if the event is to be held above ground level.

c)    We recommend slime events to be located on a hard floor. Any carpets should be covered by event organiser.

d)    Access to a mop and wet floor sign recommended.

e)    We provide table cloths. All products used during experiments are washable but we accept no responsibility for any damage to materials.

f)     A power socket need to be provided behind the stands.

g)    Access behind the stands needs to be restricted for employees only.

h)    We require access to a water supply nearby.

i)      3-4 tables are to be provided. Tables made of stone, marble and glass are unsuitable for dry ice experiments due to thermal shock.

j)      We do not accept responsibility for any damage to tables, carpets or soft furnishings.

k)    Shelter must be provided if event is held outdoors. E.g marquee.

  1. Set up and Break Requirements.

a)     We require a set up and clean down time of 30-45 mins before and after the event.

b)    We require a 30 min lunch break at least, which may require us to shut down over lunch if deemed unsafe to work with reduced staff, due to high footfall.

  1. Participants

a)    All children under 12 must be accompanied by an adult.

b)    Parents/Carers are responsible for the safety of their own children.

c)    The Event organiser is responsible for monitoring and controlling crowds.

d)    Anyone under the influence of alcohol or drugs will not be allowed to take part in the activities.

e)    Inappropriate language will not be tolerated whilst taking part in the activities.

f)     Antisocial behaviour will not be tolerated whilst taking part in the activities.

g)    The event organiser is responsible for removing participants with antisocial behaviour.

  1. Costs and Payments

a)    Invoices are issued 7 days before the event date and must be paid within 30 days.

c)    In order to keep our prices reasonable we use promotional material at public events. We will charge an extra £50 per hour for any event preventing us using promotional material.

The staff were very friendly even taking the time to talk to the parents at the end of the session explaining what the children did and i enjoyed sampling the sherbet im also the bookings clerk of the hall that was used today.
